The Smartcool Sales Process Follows 10 Steps to Savings

1. Initial Contact

There is no fee of any kind required at this stage of the process, as our goal is merely to introduce our technology and methods, and to secure some additional information about your facility as well as permission to have the person who understands your facility's air conditioning / refrigeration system best, guide one of our representatives through your facility to perform a walk through.

2. Pre-Sale Survey

We will ask you to complete a very general Pre-Sale Survey to get a better understanding of your facility and the current power of your air conditioning / refrigeration compressors. The questions include:

  • Contact information and address for your facility
  • Size and age of your facility
  • Electrical rates for usage (Kwh) & demand (KW) - Ideally copies of electrical bills
  • Utility for the site
  • Contact information for account manager at their utility
  • Information about unique features of relationship with utility such as a load shedding contract
  • Hours and days of operation for your facility
  • Running time for all air conditioning units
  • Running time for all refrigeration units
  • Contact for on-site or 3rd party air conditioning and refrigeration contractor
3. Site Survey / Walkthrough of Facilities

A Smartcool authorized representative, affiliate, contractor, or employee will meet with your designated contact and perform a walkthrough inspection of your company's air conditioning / refrigeration plant. The field representative will need to collect the following information:

  • A sketch or digital pictures of the air conditioning / refrigeration equipment layout
  • Air conditioning / refrigeration equipment make and model
  • Number of compressors (may be more than one if it is a package unit).
  • Number of unloaders and whether the unloaders are direct or reverse acting
  • Whether it is a screw or reciprocating compressor
  • The voltage and the RLA (running load amperage)
  • The suction group number if the unit is installed on a rack
  • If there are liquid line solenoids for the system
  • Whether the control system is simple thermostats, a Building Management System, or a digital controller
  • Are the thermostats of the mechanical type or of the digital type?
  • Are there lock boxes for the thermostats?
  • Is there access or operating hour issues that will slow down the installation?
  • Amount of interconnecting conduit or wiring required
  • Is there room in the units to mount our equipment or will panels be required?
  • System set point information
  • Historic operating data such as: ambient temperature, return and supply air temperature, suction pressure, compressor amperage, and run time.
If necessary, the field representative will also make a checklist of possible repairs or maintenance problems that should be remedied.

At the bottom of page three, record the total number of the various types of equipment needed.

4. Sales Calculator Prepared

We have now completed the work required to assemble an overview of your facilities' current energy consumption for air conditioning and or refrigeration and the amount of ESM™ equipment and labor required to complete an installation. This information is then used to populate a 'Smartcool Sales Calculator' which will provide us with the estimated energy savings available from installing the Smartcool ESM™. Based on this information we will prepare an Energy Savings Proposal.

5. Energy Savings Proposal

To this point, there have been no fees for the work performed. We have completed the work necessary to determine your facilities' current energy consumption for air conditioning and or refrigeration and the estimated energy savings expected based on the recommended Smartcool ESM™ installation. This information is crystallized into an Energy Savings Proposal that will be presented to you. This Energy Savings Proposal will provide the following information:

  • Equipment to be Installed at your Facility
  • Estimated Energy Reduction
  • Estimated Financial Savings
  • Estimated Pricing / ROI / Pay Back
  • Estimated Utility Rebate
  • Estimated Environmental Benefits
  • Overview of the SmartCool Measurement & Verification Guarantee
  • Overview of Evaluation (M&V) Procedures
  • Warranty Explanation
6. Proposal Acceptance

In order to move forwards from this stage, you must sign the acceptance on the Energy Savings Proposal and be prepared to pay 50% of the once only purchase price (if necessary a purchase order can be issued). Following the receipt of this payment, a SmartCool authorized representative, affiliate, contractor, or employee will meet with you to further explain the entire process going forward. This will include discussion about:

  • Installation Commencement Scheduling
  • Overview of the Amount of Time Required on Site
  • Expected Results and Timelines
7. ESM™ Installation

A Smartcool ESM™ installation in your facility will have a well designed plan including a schematic diagram and will be meticulously implemented. All work will be performed by Smartcool approved contractors or employees who are thoroughly trained and will be turnkey. Your involvement may be as little or as much as you desire. This installation will be done according to all applicable codes, regulations, and facility-specific safety and operational requirements. All Smartcool contractors have appropriate worker's compensation and general liability insurance coverage.

8. Measurement & Verification Evaluation

The following is the standard procedure used by Smartcool to determine the energy reduction performance and temperature maintenance of the Energy Saving Module™ when installed on air conditioning and refrigeration equipment.

Methodology: An Energy Logger will be installed on the electrical service to the air conditioning or refrigeration compressor. The Logger will record the amperes, KW, KVA, & Kwh. In addition a temperature data logger will be installed to monitor the ambient temperature and the temperature of the controlled medium, either chilled water, return air temperatures or conditioned space temperatures.

The air conditioning and refrigeration plant will be operated alternate weeks with the Energy Saving Module™ switched on and off to achieve a seven day comparison. The duration of the trial is normally for two weeks.

The loggers are set to provide a print out every hour and summated every 24 hours. This provides a "weekday" comparison, for example compare Monday week 1 to Monday week 2. The data from the logger is downloaded on site at the conclusion of the evaluation.

The Loggers: The Energy Logger will either be an ACR Model SR003, a Power Site PS250 Meter or a Pacific Technologies E Logger or equivalent. The logger is non-intrusive, does not require any interruption to the supply or the disconnection of any power cables. The loggers utilize clamp on current transformers and voltage probes to collect the relevant data. All loggers have a sampling rate of 8 seconds and can be programmed to summate and print the data for any time interval. The loggers are fully approved to Australian Standards, USA Underwriters Laboratories (UL) CSA and C.E. requirements.

The Report: At the conclusion of the evaluation period a report will be presented to the client. The report will provide details of any financial and environmental benefits and outline the cost effectiveness of the installation of the Energy Saving Modules™. The report will include a copy of the numeric data collected from the loggers.

Once this measurement & verification evaluation has been completed you will be invoiced for the balance (50%) of the once only purchase price still owing. This payment is due 15 days net of the invoice date. Please note that in the event that the measured Kwh reduction is less than stated in Energy Savings Proposal (Step 5) by a value greater than 10% of the stated quantity then Smartcool may agree to adjust the purchase price of the installation to provide the client with a return on investment that is consistent with the return on investment listed in the Energy Savings Proposal.

9. Rebate Application

The ESM™ has been designed in order to qualify for all utility and government rebate programs. Specifically the ESM's™ "on and off" feature allows it to be switched out of the compressor circuit for easy savings verification which is a requirement for most rebate programs.

The Measurement & Verification Evaluation (Step 8) will also form the basis of an application to the relevant utility or government office to access any rebate program available for the installation of the equipment. If you wish Smartcool can apply for the rebate on your behalf in exchange for a fee that is equal to a percentage of the funds received.

10. Ongoing Customer Support / Warranty

Once the ESM™ installation has been completed an Operators Handbook is left an installation site in order to assist with trouble shooting of necessary. Additionally, customer support continues is available to you via telephone or e-mail to help you maintain the ESM™.

Warranty

Smartcool warrants the products to be free of defects in material and workmanship for a period of one year from the date of installation. This warranty applies only to new products and shall be limited to the repair and replacement of the defective components or workmanship. The defective products shall be returned to Smartcool for repair. Where Smartcool has carried out the installation Smartcool warrants the installation to be free of defects for a period of one year from the date of installation. Smartcool will provide a free on site repair service during the first year of the warranty period. Smartcool or their authorized service agent shall carry out all warranty repairs. The warranty shall not apply if the products are modified, repaired, tampered with or incorrectly installed by persons other than those authorized by Smartcool. Smartcool reserves the right to charge at the prevailing standard service rate for any service rendered not covered by this warranty.
